Mortgage Request and Payment Flow

This article explains how the flow for mortgage payments are requested and paid for from start to finish.


1. Build a Mortgage Tape


When a mortgage company requests Fiduciary information from your office, they are asking for the Mortgage Tape file that is run from Mass Billing. They will go through the entire file and pull the information for the accounts that they need.

2. Once the Tape has been built, and saved to your computer, send it to the requestor along with the file layouts named Mortgage-AttorneyTapeLayout.doc and FiduciaryRequest-PaymentLayout.doc. You cand the file layouts here - https://spindlemedia.freshdesk.com/a/solutions/articles/36000176772

The requestor will need this to read this set of files (MM, MR, MS, TU) using the AttnyFile_RollFileLayout.doc layout.

If you see errors, first try to determine what the problem is. Run the file through mortgage tape cleaner. If you cannot find the problem, email the file to SMI Support with an explanation. We will either fix it and email it back to you or we will advise you to send the file back to the requestor with a copy of the file layout, a sample of your account number format (to make sure they are using the correct format i.e. if the account have dashes), and a request for a new file.


4. Some time before the current year taxes go delinquent you will receive the file a second time (from the mortgage company), only this time the last column with the payment information will be filled in and a check to pay the accounts will be included.
